Constitution

1. The name of the society shall be BT Research Golf Society and shall be affiliated to the sports and social club (Atlas).

2. The membership of the society shall be open to anyone working at Adastral Park, Bibb Way or any of the other BT offices in the Ipswich area, and retired ex-BT people of the same area, subject to mandatory clause 1 of Atlas.

3. The aims of the society shall be :
i) To foster interest in golf within BT in the Ipswich area
ii) To organise competitions for members

4. The membership shall be renewable on 1st January (of) each year. Subscriptions shall be paid by the 31st March.

5. An Annual General Meeting of the society shall be held before the 31st December. The Agenda shall include :
a) minutes of the last AGM and any subsequent general meetings
b) Treasurers report
c) Secretaries report
d) Match secretaries report
e) Election of officers to include :-
i) Captain
ii) Vice Captain
iii) Secretary
iv) Treasurer
v) Match secertary
vi) Committee members (responsibilities to be agreed by the committee.)
f) Any constitution amendment
g) Election of an Auditor independent of the committee

6. The committee shall manage the affairs of the society

7. The committee shall have the power to co-opt any member as required

8. Any member may ask the secretary to call an extraordinary general meeting (EGM) provided that said member has written support of at least half the members

9. The committee shall be able to call an EGM at any time

10. At least 14 days written notice of an AGM or EGM will be given to the members; 10 days written notice will be required by the committee for any propositions to be put before an AGM or EGM. All propositions to the AGM will be distributed to the membership prior to the AGM.

11. A quorum for a committee shall consist of 4 Officers.

12. A quorum for an AGM or EGM shall consist of 6 members, but the agreement of two thirds of members shall be necessary for any change in the constitution at an EGM.

13. Any disciplinary action taken against a society member shall be the sole responsibility of the committee.

14. Tournaments and competitions shall be run under a format to be agreed by the committee, whose decision shall be final.

15. The end of the financial year shall be the 31st October. Prior to the AGM the Treasurer shall present a set of accounts for auditing. Best endeavours will be made to have the accounts audited prior to the AGM

16. In the event of the society receiving insufficient support to function, all assets shall be given to the Atlas.

17. The society shall be bound by the mandatory clauses of Atlas relating to affiliated clubs.

18. If a committee member fails to attend or dial in to two consecutive meetings without offering good reason, then they will have effectively resigned from the committee. Their vacancy can then be filled by a co-opted replacement.

19. Life members need to rejoin yearly by completing and returning their contact detail information but the cost is free. If they don't rejoin or maintain contact with BTRGS for 3 consecutive years then they are deemed to have rescinded their life membership.

 

Data Protection Act and Privacy Statement

The Society holds information about its members on a database. This information includes membership and handicap details. Under the Data Protection Act we are required to inform you of this fact. Should you wish to object to such information being stored on computer, you should state clearly your objection on your membership form. Unless you state your objection clearly on the membership form or inform the Captain or a Member of the Committee it will be assumed that you have no objections.

The contact information you provide will not be distributed for commercial purposes. If contact information is given to someone outside the society for a specific event, the recipient of these contact details will be told not to use this contact information for other purposes than distributing information about that specific event.
