Local rules
This
page lists local rules from decisions made
at Committee meetings and contains some tips for Captains
of the Day; it is supplemental to the BTRGS
constitution.
Match
subsidies
Matches
BTRGS
members will be asked to pay BTRGS both a green fee to cover the
cost of the golf and a catering fee covering the cost of any food
offered after the match.
The green fee will be waived for BTRGS members who qualify for free
golf from the golf club (for example members of the club and captains
of EGU affiliated courses), see 2009 AGM.
Green fees (but not catering fees) may be subsidised to a maximum
of £10.00 per BTRGS member per event. The match fee is set
by the captain of the day after approval from the treasurer.

Knockouts
Overall
subsidy (for all six players) will be £300 and split accordingly,
depending on the availability of Wentworth (subsidies to players
not going to Wentworth).

Guests from both Halesworth and St Audreys will be invited to the
Autumn meeting. Guests will be asked to pay for their meal costs
and a contribution to prizes and BTRGS will pay for green-fees,
which will be funded by profits from the St Audreys and Halesworth
events.

Trophies
Trophy
winners must themselves get the trophies engraved, but may claim
reimbursement from BTRGS. Preferred engravers are Shire Trophies
(see Links links).

Drop outs from events
The
committee's policy is "Each case will be treated individually,
but only if raised as an issue to the committee by the player".
The general rule is that as long as no replacement player has been
found, no refund will be given.

Atlas
ATLAS
membership fee should be included in the BTRGS annual subscription
of those BTRGS members who have not already joined Atlas.

people are classed as as retired employees and are eligible to be
ATLAS members (cost £12).

No
distribution of the membership list made available for commercial

Tips for Captains of the Day
Captains
of the Day are largely determined at committee meetings early in
the year and you, as a Committee member, will be expected to Captain
at least one match per year. The BTRGS Captain organises the Spring
and Autumn events.
The
match venue is the choice of the Captain of the Day and it is up
to the Captain to determine and book the venue and food (remember
that some of the golfers might be vegetarian). If the green fees
are too high, a subsidy might be possible - see the above match
subsidies rules - consult the BTRGS Captain. BTRGS people who
are also members of the golfing venue (so do not have to pay green
fees) will be expected to pay a small match fee (see match
subsidies).
The
use of GPS devices is allowed without prejudice during BTRGS events;
however, the Captain of the Day should seek agreement of the opposing
captain, when playing matches against other socieities/clubs.

Availability spreadsheet
The
Society tries to ensure an even spread of inter-club/society matches
per BTRGS member. Use the BTRGS availability
spreadsheet to pick your team (only Committee members have write
access and the spreadsheet is not available outside the BT firewall).
The
spreadsheet now includes a worksheet explaining the different categories
(Yes/No/Maybe/Played/Selected/Replacement) which will ensure we
evenly distribute matches between members.
I
suggest if you are going to amend the spreadsheet you Reserve It,
Download It, then Add New Version when you load it back –
that way we can easily track who has done what.
Selecting your team
Try
and ensure that each member gets invited to at least two matches.
Determine the pairings and teeing order. Pick a couple of substitutes
(and let them know that is what they are) because fate often dictates
that somebody calls off at the last minute. Notify the players of
their selection several weeks ahead of the match and remind them
again two weeks ahead of the game - people forget!
Where
possible, get the match fees from each team member ahead of the
event, preferably as cheques payable to BTRGS. The BTRGS Treasurer
will write a cheque for payment, in advance (if required), otherwise
the Captain of the Day arranges payment and reclaims it from the
Society.
Inter-club/society
matches are typically 4BBB Hambro scoring (see Scorecards
for advice) with 12 players in a team, playing in pairs. You, or
your delegate, will collate the scores and agree them with your
counterpart in the other team.
Typically
a match will be followed by a meal afterwards and all players are
expected to attend (or at lease pay for the meal!). You will be
expected to give a short speach congratulating the other team on
their performance, thanking the venue and your team (bad jokes are
not obligatory).
After
the match
The
Captain of the Day settles the venue costs (usually on match day).
If necessary the BTRGS Treasurer will supply the Captain with a
cheque in advance.
Note - Some venues require two separate cheques: one for match
fees, the other for food & drinks, so if you need advance payment,
have a word with the hosts to see if you need two cheques!
After
the match, use the report template
to write up a report (include finances), then send it to the web
manager and Treasurer.
Provide feedback to the Committee at the next Committee meeting.
And remember to update the database by clicking the option "Set
played".
